How Business Expense Tracker works

Getting Started
✓ Go to the Manage Accounts screen on left split side of the iPad while being held on Landscape or by tapping the (top left corner of screen) on the iPhone or the iPad while being held on Portrait (vertical). ✓ Tap on My Profile, create your profile(the profile can also be considered as a company, a different project, a trip or a different person using the same app) ✓ Tap on Vendors, create your vendor profiles (a new vendor can also be added at anytime from within a receipt) Now you are ready to create your first receipt!
Note: A Vendor is any person or company that sells products or services to someone else. The company/person who's name is on the receipt that you bought your product or services from is the Vendor.

✓ Tap the "+" button (top right corner of the screen)
✓ The Receipt Details screen will appear, input the details of your receipt. (Set the Category, Vendor, Date, Total, Tax & Tip) Note: The Category and the Profile (Company) are required.
✓ You can add a Description to remind you what the purchase was for. ✓You can scan or upload a photo of your receipt with the (bottom left corner of the screen). This will require to allow the app to access your camera, otherwise the app may crash when attempting to take a photo.
✓ Tap Save
✓ To delete a receipt, just slide your finger to the left over the targeted receipt then delete (see image below).

Note: To add a negative number, you will need to add the minus sign before the number (-56.43), however you do not need to add the + sign or the currency code ($) before the number.
In order to delete a receipt, just slide your finger to the left over the targeted receipt then delete (see image below). Same step is true for Job or Mileage entries.
✓ Tap the button (bottom right corner of the main menu screen) to open the Export Receipts screen
✓ Select the "Start Date" and "End Date" for your report
✓ Select the format (PDF or CSV)
✓ To attach an photos of your receipts to your report, slide the Attach Image switch to the "on" (green) position
✓ Tap "Next"(top right corner of screen)
PDF vs CSV:
PDF: Portable Document format is a printer-friendly document format supported by Adobe Reader, Foxit Reader, PDF XChange, etc.
CSV: Comma-separated values is a format used for exchanging data between various spreadsheet programs. This file format allows for the data table to be easily retrieved into a variety of applications. CSV is not intended to attach images/photos because it is for exchanging data between various programs.
✓ Tap (bottom right corner of the main menu screen) to open the Export Receipts screen
✓Select either: All, Company, Vendor, or Category (the toolbar in the middle of your screen)
✓ by Date: tap on Start Date to select starting date, then tap on End Date to select the closing date of the report.
✓ by Category: Tap Category then select the categories in the list for which you want to export a report. This will export report for specific expense categories. Should you export report for all categories, tap on All to select all categories.
✓ by Company: Tap Company to select the profile for which you want to export report. This filter will sort data only for one Profile or company.
✓ Set your Start and Stop dates
✓Select either PDF or CSV format
✓ Tap Done
Note: To export report for a specific category, Tap on Category, from next screen select the desired category (one or more) then tap on Back button. Now hit the Next button on top right corner to generate the PDF or CSV report.
Receipt Scanner is a multi-profile supported application. Let's say you are going to "Hawaii" and you want to record all the expenses for this trip only, you will need to create a profile for "Hawaii" then enter all your expenses for "Hawaii".

✓ Go to the Manage Accounts screen by tapping the (top left corner of screen)
✓ Tap on My Company, create a "Hawaii" profile, now you will have a Company Name: Hawaii
✓ Now when you create a receipt for "Hawaii", select "Hawaii" for the Company Name for all entries relating to that trip
Note: The following steps require to purchase In app the Backup/Sync Add-on from Manage Accounts screen.
First Device (this should be the device that you already have all your data on):
✓ Go to the Manage Accounts screen by tapping the (top left corner of screen)
✓ Tap Buy Sync Add-on to unlock the Sync feature by purchasing directly within the app
✓ Next to Backup Data, slide the switch button the the "on" (green) position
Note: If the screen says "Try later", you will need to enter a different user name then re-do previous steps.

Second Device:
✓ Go to the Manage Accounts screen by tapping the (top left corner of screen)
✓ Tap Restore In-App purchase
✓ Tap Restore Data (DO NOT turn on the Backup Data switch, otherwise all your data will be erased on Cloud)
✓ Enter the same User Name and password that you created on your first device
VERY IMPORTANT: Never backup from the device that has no receipts data because it will overwrite your data with empty data, always backup from the device that has all your data then restore on the device that has no data or no updated data.
Note: If you have a lot of data with images, you may consider using backup via iTunes File Sharing (See "How do I Backup my data using iTunes file sharing?")
Note: The following steps require to purchase In app the Backup/Sync Add-on from Manage Accounts screen.

BACKUP DATA
✓ Go to the Manage Accounts screen by tapping the (top left corner of screen)
✓ Next to Backup Data, slide the switch button the the "on" (green) position
✓ Enter a new User Name and password.

RESTORE DATA
✓ Go to the Manage Accounts screen by tapping the (top left corner of screen)
✓ Tap Restore Data (DO NOT turn on the Backup Data switch, otherwise all your data will be erased on Cloud)
✓ Enter the same User Name and password when you created the first backup.
No, once you have purchased the Backup feature for one device then you can manually restore the purchase onto other devices without any extra charge, as long as these devices share the same Apple ID (iTunes Account).
Yes, it is highly recommended by Apple to backup your data on a regular basis. Why? A new update can cause a loss of data or in the case that your device is lost/stolen. Once you have purchased the Backup/Sync Add-On feature, we recommend you regularly backup your data. Always backup your data before you update your device or Receipt Scanner.
Absolutely not, the Sync Add-on feature is a one-time purchase. If after an update, or while you are restoring your device, you see the button for Sync Add-on is hiding the Backup and Restore, just tap Restore In-App Purchase or theBuy Sync Add-on. As long as you are still using that same Apple ID (ITunes Account) when you first purchased the feature, Apple's system will recognize that you have already purchased this product and you will not be charged again.

✓ Using your computer, go to iTunes

✓ Connect your device to your computer
✓ Using your computer, go to iTunes

✓ Select your Company
✓ Tap "$"
✓ Select your country's currency from the list, if you cannot find your currency in the list:
✓ Tap to add your own Currency Symbol and Code. Tap on Done to save.
✓ Now from the Currency list, select the new created currency, then tap on Save in order to save the profile.
* If the currency is not applied on main screen, force close and relaunch the application.

How to force close application? Double-click the Home button. Swipe left or right until you have located the app you wish to close. Swipe the app's preview up to close it.
Once you have scanned your receipt, you can manually adjust the borders of your document by taping your finger on the corner of the document and dragging it to the spot you want your new border to be.
✓ Tap speedometer icon
✓ Tap "Total Mileage" at the bottom of your screen to select your default of either: km or miles
✓ Tap "+"
✓ Enter your date
✓ Tap "Enter Start/Stop Mileage" to enter mileage and select "Purpose" to sort as either Business, Personal or Other and to change the rate. You must enter the date and mileage before adding any other details
✓ Continue entering your necessary details such as Vehicle, Origin, Client, etc.
✓ Tap "Save" when you are all done
✓ Open the mileage tracker that you want to add as a Receipt
✓ Tap the square with arrow pointing up
✓ Select "Convert to Receipt"
✓ Tap the speedometer
✓ Tap the square with arrow pointing up
✓ Enter your mileage for the first half of your journey
✓ Tap "Save"
✓ Reopen your Mileage Tracker
✓ Tap and this will automatically duplicate your mileage to create a round trip
✓ Open the saved mileage tracker you want to duplicate ✓ Tap the square with arrow pointing up ✓ Select "Duplicate" ✓ The duplicate will appear on your screen, make any necessary changes and then tap "Save" ✓ The original mileage tracker should now be on your screen, tap "Save" to exit
✓ Tap the clock icon ✓ Tap + ✓ Tap "Enter Start/Stop Time", you must enter the time before adding any other details ✓ Either enter your start and stop times OR just manually enter the "Duration" ✓ Tap "Rate" to select an hourly rate ✓ Tap "Save" ✓ Tap "Save" again to return to Time sheet ✓ Continue adding the other necessary details ✓ Tap "Save" when you are finished
✓ Open the saved Time Sheet you want to duplicate
✓ Tap the square with arrow pointing up
✓ Select "Duplicate"
✓ The duplicate will appear on your screen, make any necessary changes
✓ Tap "Save"
✓ The original Time Sheet should now be on your screen, tap "Save" to exit
✓ Open the Time Sheet that you want to add as a Receipt
✓ Tap the square with arrow pointing up
✓ Select "Convert to Receipt"
✓ Tap either speedometer or clock icon button
✓ Tap the square with arrow pointing up and an email draft will appear with an attached CSV report generated
To start a new year with blank data, you need to purchase Sync Add-on. After you will enable the Sync Add-on, you will find the section Manage Data below Support button. Use this section to backup all your receipts for 2014 on your computer via iTunes or just make a backup to the cloud. Once your 2014 data is backed-up, you may now erase all data by pressing on Clear all data. Now you can start a new year with blank data.
